Sharing Stories

Overview

The Story Portal allows you to share your Living Stories with specific collaborators or make them publicly accessible. You can control who has access and what they can do with your story through a flexible permission system.

Opening the Share Panel

To share a story:

  1. Open the story you want to share
  2. Click the Share button in the top navigation
  3. The sharing panel appears on the right side of the screen

Sharing Methods

Share with Specific Users

Share your story with individual users by email:

  1. Search for users:

    • Type an email address in the search field
    • The system searches for registered users
    • Matching users appear in the list below
  2. Grant access:

    • Hover over a user in the search results
    • Permission buttons appear on the right
    • Click a permission level to share with that user
  3. Manage shared users:

    • All users with access appear at the top of the list
    • Their current permission level is highlighted
    • Click a different permission to change access
    • Click the active permission again to remove access

Make Story Public

Make your story accessible to anyone with the link:

  1. Click the Make Public button at the bottom of the share panel
  2. Anyone with the story URL can now view it
  3. Public viewers have read-only access (cannot edit)
  4. The button changes to Make Private to reverse this action

When a story is public:

  • User search is disabled
  • Anyone can view the story without logging in
  • No one can edit except users with explicit Edit permissions
  • The story remains in your account

Permission Levels

When sharing with specific users, choose from three permission levels:

  • Preview Only - View the story as an interactive experience
  • Full View - See the story structure and all content
  • Editor - Full editing capabilities

See Permission Levels for detailed information about what each level allows.

Exporting Stories

Export your story as a file:

  1. Open the share panel
  2. Click the Export button at the bottom
  3. A file downloads to your computer
  4. This creates a backup or allows story transfer

Best Practices

Controlling Access

  • Start with lower permissions and increase as needed
  • Remove access for users who no longer need it
  • Review who has access periodically
  • Use Preview permission for stakeholders who just need to test the experience

Public vs Private

  • Keep stories private during development
  • Make public only when ready to share widely
  • Remember: public stories are view-only for anonymous users
  • Use specific user sharing for collaborators who need to edit

Security Considerations

  • Be cautious with Edit permissions
  • Only share with trusted collaborators
  • Review access before making a story public
  • Export backups before sharing widely
